Aroma Compass

Legal Framework

This page consolidates legal information, terms of use, and privacy policy for Aroma Compass in a single structured reference.

Terms & Conditions

Educational Use

This platform is dedicated to aromatherapy education, formulation learning, and botanical exploration. Content is informational only.

No Medical Advice

Aroma Compass does not provide medical diagnosis or treatment. Professional healthcare advice should always be sought when necessary.

The Consultation Service

Aroma Compass offers a free discovery call and a paid in-depth aromatic consultation (currently €60, subject to change for future bookings). The consultation is a personalized aromatic and olfactory accompaniment session; it is educational and wellness-oriented, not a medical, psychological, or therapeutic act, and does not replace diagnosis or care by a qualified health professional. By paying for and/or booking a session, you accept these Terms & Conditions and the Privacy Policy, and you agree to the booking, payment, and cancellation terms set out in the Booking & Cancellation Policy section below, which forms an integral part of this contract.

Contract Formation

The contract for the in-depth consultation is formed once payment is completed via Stripe and/or a time slot is confirmed via Calendly, whichever applies to your booking path. Prices are displayed in euros and may include applicable taxes where relevant; any price change applies only to bookings made after the change takes effect.

Responsibility

Users remain responsible for any use of formulations, recommendations, or educational material provided on the platform, and for accurately disclosing any relevant health information (e.g. allergies, pregnancy, medical conditions) before a consultation.

Content Changes

Content may be updated, modified, or removed at any time without notice.

Limitation of Liability

Aroma Compass cannot be held responsible for damages, reactions, or misuse of the information, formulations, or recommendations provided, including during or after a paid consultation.

Jurisdiction

French law applies to the use of this website and to the consultation service. In the event of a dispute, the parties will seek an amicable solution before any legal action before the competent French courts.

Booking & Cancellation Policy

Booking & Payment

The free discovery call is booked via Meetergo. The in-depth consultation (€60) is booked via Calendly and paid via Stripe, either after the discovery call or directly. A booking is confirmed once the time slot is validated.

14-Day Right of Withdrawal

Under French law, consumers ordinarily have a 14-day right of withdrawal (droit de rétractation) for services purchased online. Because consultations are typically scheduled and performed before this period ends, by booking a date you expressly request that the service be performed before the withdrawal period expires, and you acknowledge that your right of withdrawal will no longer apply once the consultation has been fully performed.

Cancellation & Rescheduling

Cancellations or rescheduling requests must be made at least 24 hours before the appointment, directly via the link in your Calendly confirmation email. Beyond this deadline, the session is considered due and is not refundable.

Late Arrival & No-Show

In case of late arrival, the session duration may be shortened so as not to affect the following appointments. An unnotified absence is considered as the session having taken place.

Payment Without a Scheduled Session

If payment is made without a session being scheduled within 30 days, Aroma Compass will reach out to arrange a date. Beyond a reasonable additional delay without response, the booking may be extended, rescheduled, or refunded at Aroma Compass's discretion.

Follow-up

Some consultations include a post-session follow-up to observe progress and adjust recommendations if needed. This follow-up is offered, not mandatory, as part of a progressive accompaniment.

Privacy Policy

Data Controller

Quentin Olagne (Aroma Compass) is the data controller for personal data processed through this website and the consultation service.

Data Collection

We may collect limited personal data such as contact form submissions, booking details, email addresses, and anonymous analytics.

Usage

Data is used solely to respond to inquiries, manage bookings and payments, improve services, and maintain site functionality.

Legal Basis

Data is processed on the basis of consent and the performance of a contract (booking and delivery of the consultation).

Cookies

We use Umami Analytics, Cloudflare Web Analytics, and Ahrefs Analytics, all configured to operate without cookies and without tracking individual visitors across sessions or sites. The only cookie set by this site is a strictly functional one storing your language preference (French or English).

Analytics

We use Umami Analytics (self-hosted), Cloudflare Web Analytics, and Ahrefs Analytics to understand aggregate website usage — such as page views and approximate traffic sources — in a privacy-friendly, anonymized way. None of these tools perform individual session recording, and none share data with third parties.

Anti-Bot Protection

Forms and the formulation tool are protected by Cloudflare Turnstile, which distinguishes human visitors from automated ones. It processes technical data such as your IP address and browser characteristics. Provider: Cloudflare. It sets no advertising cookie and does not track you across sites.

Third Parties

Data is processed by: Stripe (payments), Calendly / Meetergo (booking and scheduling), Cloudflare (anti-bot protection), and our hosting provider. Each acts as an independent data processor under its own privacy policy and is only given the data necessary to perform its function.

Retention

Data is retained for as long as necessary to manage the client relationship and to meet our legal and accounting obligations.

User Rights

Users may request access, correction, or deletion of personal data where applicable under GDPR. You may also lodge a complaint with the CNIL (French data protection authority, www.cnil.fr) if you believe your rights are not respected.
